FinalForms Feature Update: April Review

Summer break is almost here!

And while you are all working hard to prepare for the end of the school year, we are continuing to make updates and features to help alleviate some of the daily stress!

Beyond Buildings!

Our latest feature update allows multi-school building districts to view all students within a specific sport, not just by building. Think about viewing “ALL Football Players within the District” and then contacting the athletes, parents, or coaches. Pretty cool, huh?!

Remember: Check out our “Extracurricular Mode” as you prepare for 2021-2022. We can provide the same services that we do for Sports for so many more activities, clubs, and classes! Let us know if you have questions about starting with Extracurricular Mode.

TIP OF THE MONTH:
Do you ever need to email two grade levels at the same time? When filtering to send an email, you can filter two, three or more grade levels.  For example, you can filter to email the Senior Class and Sophomore Class by typing “2021,2023” in the Class filter.

  1. NEW: Export R-Cards

Administrators may export and print R-Cards.

HOW TO: Click on the “Export” button and select R-Cards.  Then select to print 1, 2 or 3 per page.

 

  1. NEW: Filter Sports from the District POV

FinalForms now automatically categorizes sports (“JH Soccer”) within a “Sport Category” (“Soccer”).

  • Admins may click edit sport settings to modify or assign categories.
  • Admins may click the “Sport/Season” dropdown to select a sport category, and view the list of students.

WHY? Admins and District Athletic Directors may now view all participants in a sport category within a school district even when the names of the sports vary from school to school. This enables two key things

  1. It allows Building Athletic Directors to have complete flexibility in naming sports.
  2. It allows District Athletic Directors to view lists, contact athletes/parents/families, or export data on a larger scale.
    – Example: A district admin may filter by the sport category “Soccer”, which will     display ALL students belonging to soccer teams, even if the team names vary from,   “JH Soccer” to “European Football”, etc.

 

  1. NEW: View Homeschooled Students

“External/Homeschooled” students no longer appear, by default, in Academic Mode.

WHY? “External/Homeschooled” students may only be in FinalForms in order to participate in Sports and/or Activities. Therefore, school administrators do not need to see these students.

 

  1. NEW: Classify Staff Certifications by Types

Administrators can organize Staff uploads under different “types” of documents.

– This allows for easy selection and standardization.

– Types of documents include: “General”, “Certification”, “IPDP”, and “Exports”.

 

  1. NEW: Use Permanent Clearance Statuses

Admins may now mark clearances as “permanently visible and applicable.”

– These clearances remain visible forever and will not be reset or disappear in the next school year.

– Schools may be configured with default “permanent” clearances.

WHY? Standard clearances are specific to the school year, by default. Checking the option to make them permanent, allows them to carry over from year-to-year.

 

  1. UPDATE: Clearance Visuals

Custom clearances appear much quicker and cleaner!

WHY? It allows Administrators to view clearances without clicking and opening the popup.

HOW TO: Hover the mouse over a student’s clearance icon to show all clearances for the year.

 

  1. UPDATE: Multi-Sport Athlete Export

The “multi-sport athlete” export now includes single-sport athletes as well as the gender of the athlete on the CSV.

– The multi-sport widget on the dashboard is now clickable and will let you export the specific sections of students.

WHY?  Many states require a report on single-sport athletes. This export also contains gender to assist with gender-related reporting.

 

  1. UPDATE: “Future School Year” Indicator

When in “Preview Mode” the improved alert gives information about the status of various dates for the next school year.

– Registration Open and Close dates

– School year Rollover date

– Rollover process documentation is linked

  1. NEW: School Email Access Instructions

Schools can include student’s email access instructions.  These instructions are shown to parents at the end of the formset if a student signature is required.

WHY? To alleviate questions often received from parents asking how their child can access their student email.

Forms may now be assigned to specific enrollment statuses.

WHY? This allows for greater flexibility when administering student forms.

HOW TO: Contact the Support Team at support@finalforms.com to add or make adjustments to current formsets.
